Who we are

Deepe is developed by Deepe Labs, Inc. (“we”). This notice describes what the Deepe service collects, why, and what happens to it. It applies to this website and to the Deepe driver app and fleet dashboard.

What we collect, and why

• Account data. Names, work email addresses, hashed passwords, roles and access levels for the people your fleet adds. Needed to sign in and to scope what each person can see.
• Company record. When registration opens, the public FMCSA record for your company (legal name, city and state, USDOT and MC numbers, authority and operating status, unit counts) as a snapshot with the date it was retrieved. Used to set up your fleet and shown on your account.
• Inspection data. Still frames extracted from inspection video, the findings produced from them, the driver’s checklist answers and signature, the report PDF, and an audit trail. This is the product; it is the compliance record your fleet is required to keep.
• Location at sign-off. A GPS fix taken when an inspection is submitted, recorded on the report. A current fix may be sent when checking whether an en-route re-check is due; that one is used to compute a distance and is not stored.
• Scanned documents. Bills of lading, roadside inspection reports and other paperwork a driver scans, with the text read from them by OCR.
• Technical data. IP addresses and timestamps on requests, used for rate limiting and security logging.

What we do not do

• The inspection video never leaves the phone. Only still frames are uploaded.
• We do not sell personal data, and we do not share it with advertisers.
• We do not use your fleet’s data to train models.
• This website sets no advertising or analytics cookies.

Who processes it

Frames are analysed by Anthropic’s Claude models under our agreement with Anthropic. Hosting, database and object storage providers process data on our behalf in United States regions. Transactional email — registration codes, sign-in links and account notices — is delivered by Resend. None of these providers uses your fleet’s data for any purpose of their own.

Keeping fleets apart

Each fleet’s records live in their own database schema, not in a shared table filtered by a company column. One fleet cannot reach another’s data, and a query written wrongly cannot cross the boundary because the boundary is the database’s own. Our staff access a fleet’s data only to provide support or to keep the service running.

How credentials are protected

Passwords are hashed and never stored in a form anyone can read back, ourselves included. The secret behind an administrator’s authenticator app is encrypted at rest — it has to be recoverable to check a code, which is why it is encrypted rather than hashed — and the recovery codes issued alongside it are hashed like passwords. Every request for a fleet’s data is authenticated and scoped to that fleet.

How long we keep it

• Inspection records and reports: for the life of your fleet’s account.
• Roadside inspection reports: at least 12 months (49 CFR §396.9(d)). Bills of lading: at least one year.
• Near-duplicate frames are deleted after an inspection is signed; cited frames are kept.
• Unfinished inspections are abandoned after seven days of inactivity and are never a compliance record.

Your choices

A fleet admin can export reports as PDFs, remove users, and ask us to close the fleet. Drivers can opt in or out of en-route re-check reminders. Requests about personal data go to your fleet admin, who can reach us from the admin account.

You can ask for a copy of your fleet’s data or ask us to delete it. Deletion is subject to the retention minimums above, and we will say so rather than delete quietly: those minimums exist because the FMCSA requires the records to be kept, and destroying one early would take a document out of your hands that a roadside inspection may ask you for.

Children

Deepe is a tool for commercial motor carriers. It is not directed at children and is not intended for use by them.

Changes

This draft will be replaced by a reviewed notice before registration opens; the date at the top will change.
